Mission Statement

The Town Clerk's office is the official record keeper for the Town of Suffield, responsible for recording, maintaining and certifying land records (including deeds, mortgages, liens, maps, and any other related documents); vital statistics (births, marriages, civil unions, and deaths); minutes and agendas of Suffield's boards and commissions; and other Town records.

Absentee Ballots & Elections

If you are unable to vote in-person on Election Day, Connecticut law allows registered voters to receive an Absentee Ballot. Absentee Ballot Applications are available:

Through the State of Connecticut’s Online Absentee Request Portal
In person in the Town Clerk’s office
Online on the Secretary of State’s website

Upon application, Absentee Ballots are available 31 days before a general election, 21 days before a primary, or 19 days before a referendum.

Voter Registration and Absentee Ballot Request – Federal Post Card Application (FPCA)

This form is only for Uniformed Service Members, their families, and citizens residing outside the United States. It is used to register, request a ballot, and update your contact information.

Birth Certificates

For births occurring on/after January 1, 2003:

You may request a Certified Copy from the State Vital Records Office OR any Connecticut Town Clerk/Vital Records Registrar.

For births occurring prior to January 1, 2003:

You may request a Certified Copy from the State Vital Records Office
OR the Connecticut Town Clerk/Vital Records Registrar for the town where the birth occurred
OR the Connecticut Town Clerk/Vital Records Registrar for the town of the mother’s residence at the time of the birth

Birth Certificates that are less than 100 years old are confidential records. To see who is eligible to request a Certified Copy of a Birth Certificate, please see the Connecticut Department of Public Health’s website.

Requests for Certified Copies of Birth Certificates from the Suffield Town Clerk may be made in person OR through the mail.

You will need:

Eligibility to obtain the Birth Certificate (see above)*
Complete Request for a Certified Copy of a Birth Record form the Town of Suffield
Valid Government Issued Photo Identification
Fee (credit cards are not accepted)

*provide documentation proving eligibility (only applicable if you are someone other than the birth registrant or a parent listed on the birth certificate)

Death Certificates

Dog Licenses

In Connecticut, dogs six months of age or older must be licensed.

Initial Licenses may be obtained online (Click Here), in the Town Clerk’s office, or through the mail. You will need:

Completed Dog License Application Form
Current Rabies Certificate from veterinarian
Proof of Spay/Neuter from veterinarian (if applicable)

Renewal Licenses are obtained in-person in the Town Clerk’s office, through the mail OR online through the Town of Suffield’s Online Dog Renewal System. Renewals are handled annually in the month of June.

Land Records

Please see links below to review images of our Grantor and Grantee Indexes, these indexes cover the 1700s through 1983.

Once you locate the document, you are able to view it using our Online Land Record Database by typing the Volume and Page into the Search Bar.

Example: If you need a Warranty Deed located in Volume 100 at Page 200 you would type “100(space)200”

Public Search Stations are available in the Town Clerk’s office. Copies are $1/page (cash/check only).

Land Records are recorded:
Monday-Thursday 8:00 am – 4:00 pm
Friday 8:00 am – 12:30 pm

Maps

Please see links below to review images of our Index of Surveys and Maps, by Title. These indexes cover Map Book One through Maps filed in 1999.

Once you locate the Map information, you can request/obtain copies of Maps:

In-person in the Suffield Town Clerk’s office using our Public Map Station ($1/map, cash/check only)
Via mail by written request, including Map Title, Owner, Address, Book/Page and Fee ($1/map)
Via email by request, including Map Title, Owner, Address and Book/Page. Upon receipt of Fee ($1/map), we will mail your copy.

Maps cannot be emailed or faxed.

Marriage Licenses & Certificates

Issued for marriages to be performed within the Town of Suffield only. Licenses are valid for sixty-five (65) days from date of issue.

Apply via Online Marriage Application

Once Application is complete, call the Town Clerk's Office to set up an appointment to finalize the Marriage License process. Both parties need to appear in person before the Town Clerk, with valid government issued photo identification, to sign the Marriage License.

Fees:

License: $50, cash/check only
Certified copies: $20 (prepayment accepted at time of signing)

Property Check

The Suffield Town Clerk’s Office offers a free service that helps protect residents from potential property and mortgage fraud. Cott Systems’ Property Check will automatically alert you of any recordings based upon the criteria you select.

How to Register for Property Check:

1.) Sign up at the website listed below:
